Accounting Profit And Loss Account Format (India, 2026)

A profit and loss account shows whether a business made money over a period, and its format follows a clear order: trading result first, then other income and expenses, then the final profit. This guide sets out the profit and loss account format, how the trading and appropriation accounts fit around it, and a simple layout you can copy into Excel.

In short
  • P&L: income less expenses over a period, ending at net profit.
  • Trading account first: for goods businesses, to find gross profit before the P&L.
  • Order: gross profit, other income, operating expenses, depreciation, interest, net profit.
  • Appropriation account: a partnership adds this to share profit among partners.
  • Balance sheet: a snapshot on one date; the P&L profit flows into it.
  • Excel: three columns (item, this year, last year), with formula subtotals and a fixed row order.

01What the profit and loss account shows

The profit and loss account, often shortened to P&L, is a statement of income and expenses over a period, usually a financial year. It answers one question: did the business earn more than it spent, and by how much.

It is different from the balance sheet, which is a snapshot of what the business owns and owes on one date. The P&L covers a period; the balance sheet is a single day. The profit from the P&L flows into the balance sheet as part of the owner or shareholder funds. For a sole trader layout, see the balance sheet format for a sole proprietorship.

02The trading account comes first

For a business that buys and sells goods, the trading account is prepared first to find the gross profit. It compares sales with the direct cost of those sales.

Trading accountAmount
SalesA
Less: cost of goods sold (opening stock plus purchases less closing stock)B
Gross profit (A less B)C

Gross profit (C) is then carried into the profit and loss account. A service business with no goods usually starts directly at the P&L with its fees as income.

03Profit and loss account format

The profit and loss account takes the gross profit, adds any other income, and subtracts the indirect or operating expenses to reach the net profit.

Profit and loss accountAmount
Gross profit (from trading account)C
Add: other income (interest, commission, rent received)D
Less: operating expenses (salaries, rent, electricity, marketing)E
Less: depreciationF
Less: interest and finance costsG
Net profit before tax (C plus D less E, F, G)H
Less: taxI
Net profit after tax (H less I)J

The order matters: direct result first, then other income, then expenses grouped sensibly, ending at the net profit the owners keep. Companies present this in the format set by the Companies Act, filed with the Ministry of Corporate Affairs.

04The appropriation account (for partnerships)

A partnership adds one more step: the profit and loss appropriation account, which shows how the net profit is shared among partners.

Appropriation accountAmount
Net profit (from the P&L)J
Less: interest on partners capitalK
Less: partners salary or commissionL
Balance shared in the profit-sharing ratioM

So a sole trader stops at net profit, a partnership continues to the appropriation account, and a company shows the profit and how it is retained or distributed.

05A simple Excel layout

You can build a working P&L in Excel with three columns: the line item, the current year amount, and the previous year amount for comparison. Group the rows as follows:

  • Income block: sales or fees, then other income, with a subtotal.
  • Direct costs: cost of goods sold, to show gross profit.
  • Operating expenses: one row per category, with a subtotal.
  • Below the line: depreciation, interest, then net profit before and after tax.

Use formulas for the subtotals so the sheet updates itself. Keep the same row order every year so the comparison stays clean. For the GST annual return layout that draws on the same books, see the GSTR-9 format.

A good P&L is boring and consistent. Keep the same line order every year, and the story the numbers tell becomes obvious at a glance.

06How Claw Tax helps

Claw Tax and Accounts is an online tax, GST and accounting service for India that connects you with a verified chartered accountant at a fixed, published price, with a Claw reviewer checking every filing before it is submitted.

Building a P&L in Excel from a template is something a small business owner can do without any help, and for a simple set of accounts that is perfectly fine. Claw Tax is for when you want books kept properly through the year, a P&L and balance sheet that stand up to a lender or the tax department, or you simply do not have time for the ledgers.

A verified chartered accountant can keep your bookkeeping, prepare your P&L and balance sheet, and ready them for filing, at a fixed, published monthly price (bookkeeping starts from Rs 2,499 a month, see the page), with a Claw reviewer checking the accounts. See the services and prices at clawlaw.in/tax.

This is general information, not tax or accounting advice; a verified CA handles the specifics of your case.

07Frequently asked questions

What is the format of a profit and loss account?

A profit and loss account starts with gross profit (or fees for a service business), adds other income such as interest or rent received, then subtracts operating expenses, depreciation and interest to reach net profit before tax. Tax is deducted to give net profit after tax. The order is direct result first, then other income, then expenses.

What is the difference between the trading account and the profit and loss account?

The trading account is prepared first for a goods business and compares sales with the direct cost of goods sold to find gross profit. The profit and loss account then takes that gross profit, adds other income and subtracts indirect or operating expenses to reach net profit. A service business usually starts straight at the P&L.

What is a profit and loss appropriation account?

It is an extra step used by partnerships that shows how the net profit is divided. From net profit it deducts interest on partners capital and any partner salary or commission, and the balance is shared in the agreed profit-sharing ratio. A sole trader does not need it; a partnership does.

How do I make a profit and loss account in Excel?

Use three columns: the line item, this year amount and last year amount. Group the rows into income, direct costs, operating expenses, and below-the-line items like depreciation, interest and net profit. Use formulas for subtotals and keep the same row order each year so the comparison is easy to read.

How is the balance sheet linked to the profit and loss account?

The profit and loss account covers a period and ends at net profit. That net profit is added to the owner or shareholder funds on the balance sheet, which is a snapshot of what the business owns and owes on one date. So the two statements connect through the profit figure.

Does a company use the same P&L format as a sole trader?

The logic is the same, but a company must present its profit and loss account in the format set by the Companies Act and file it with the Ministry of Corporate Affairs, with prescribed headings and disclosures. A sole trader or partnership has more freedom in layout, as long as the statement is clear and consistent.
